Course Overview

The Project Performance Management & KPIs Training Course equips project managers, PMO professionals, portfolio managers, and project sponsors with a structured approach to defining, measuring, reviewing, and improving project performance using balanced and meaningful key performance indicators. In government entities, ministries, public authorities, banks, healthcare systems, energy and utility companies, construction, engineering, and technology organizations, and large corporations, projects are expected to deliver not only on time and within budget, but also with the required quality, safety, stakeholder satisfaction, and business benefits. Measuring the right things, in the right way, is essential to achieving these outcomes. Many organizations measure project performance narrowly, focusing mainly on schedule and budget while overlooking quality, risk, safety, stakeholder satisfaction, team health, and benefits realization. KPIs may be defined differently from project to project, targets may be set without baselines, and data may be collected manually and inconsistently. Status ratings may be subjective, performance reviews may focus on explaining past results rather than deciding on corrective actions, and portfolio leaders may lack comparable information to identify troubled projects early. As a result, organizations struggle to learn systematically and to improve delivery across their project portfolios. This course provides a practical framework for project performance management. Participants learn the difference between project management success and project success, how to define success criteria and link them to organizational objectives and benefits, and how to design a balanced project performance scorecard. The program covers the design of project KPIs, including leading and lagging indicators, definitions, formulas, data sources, baselines, targets, and thresholds, and KPIs for time, cost, scope and change, quality, health, safety, and environment, risk, stakeholder satisfaction, team performance, and benefits realization. Participants also learn performance metrics for agile and hybrid projects, portfolio-level KPIs, objective status and health criteria, data collection and reporting practices, dashboard design, structured performance reviews, stage gates and project health checks, corrective action and recovery planning, the role of the PMO in performance management, benchmarking, lessons learned, and project management maturity improvement. The course is delivered through an interactive, application-focused approach with KPI design exercises, scorecard and dashboard workshops, project health assessment simulations, and case studies. Participants leave with a project success criteria template, a balanced project scorecard, KPI definition sheets, objective status and health criteria, a project and portfolio dashboard design, a project health check tool, and a performance management improvement plan for their organization.

Learning Objectives

  • Analyze the difference between project management success and project success and the role of performance management in delivering both on Day 1.
  • Define project success criteria that are linked to organizational objectives, stakeholder expectations, and intended benefits.
  • Design a balanced project performance scorecard covering time, cost, scope, quality, safety, risk, stakeholders, team, and benefits.
  • Develop KPI definitions that specify purpose, formula, data source, frequency, ownership, baseline, target, and thresholds.
  • Apply leading and lagging indicators to provide early warning of performance problems.
  • Apply KPIs for time, cost, scope and change, quality, health, safety, and environment, risk, stakeholder satisfaction, and team performance.
  • Develop KPIs for benefits realization that measure the value delivered after project completion.
  • Apply performance metrics for agile and hybrid projects, including velocity, cycle time, throughput, and burn charts.
  • Design portfolio-level KPIs and objective status and health criteria that enable comparison across projects.
  • Design project and portfolio dashboards and structured performance review processes, including stage gates and health checks.
  • Develop corrective action and recovery plans based on performance analysis and root cause identification.
  • Design a project performance management improvement plan, including the role of the PMO, benchmarking, and lessons learned, by the end of Day 5.

Who Should Attend

This course is designed for project managers, program managers, portfolio managers, PMO heads and analysts, and project control professionals responsible for monitoring and improving project performance. It is also highly relevant for project sponsors, steering committee members, department heads, and senior managers who review project performance, approve stage gates, and make decisions on priorities and corrective actions. It is particularly valuable for professionals in ministries, government entities, and public authorities managing portfolios of infrastructure, digital government, and transformation projects; in banks and financial institutions managing technology, regulatory, and business change portfolios; in healthcare systems managing facility, clinical, and system projects; and in energy, utilities, construction, engineering, manufacturing, and service organizations managing capital, maintenance, and improvement projects. Strategy, performance management, and quality professionals who link projects to organizational objectives will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain how project performance management supports successful delivery and value creation.
  • Define clear success criteria for projects at initiation.
  • Build a balanced scorecard that goes beyond schedule and budget.
  • Write complete KPI definitions that ensure consistent measurement across projects.
  • Use leading indicators to identify problems before they become critical.
  • Measure quality, safety, risk, stakeholder, and team performance in practical ways.
  • Track the realization of project benefits after delivery.
  • Apply suitable performance metrics to agile and hybrid projects.
  • Define objective status and health criteria that reduce subjective reporting.
  • Design dashboards that support project and portfolio decisions.
  • Lead performance reviews and health checks that result in clear corrective actions.
  • Use performance data and lessons learned to improve project delivery across the organization.
