Course Overview

The Process Improvement Fundamentals Training Course provides a practical foundation for understanding, analyzing, and improving business and operational processes. It focuses on identifying inefficiencies, reducing unnecessary activities, improving workflow consistency, and aligning process performance with organizational objectives. Participants explore established process improvement methods, including process mapping, root cause analysis, waste identification, performance measurement, and the Plan-Do-Check-Act (PDCA) cycle. The course introduces practical tools for assessing current processes, identifying improvement opportunities, and developing structured solutions based on operational evidence and measurable performance gaps. Through applied exercises and real-world business scenarios, participants develop the skills to document workflows, analyze process problems, recommend improvements, and monitor results. The course supports organizations in improving productivity, service quality, resource utilization, and operational consistency while establishing a foundation for continuous improvement.

Learning Objectives

  • Explain the principles and value of systematic process improvement.
  • Identify process inefficiencies, bottlenecks, duplication, and non-value-added activities.
  • Map existing workflows using appropriate process documentation techniques.
  • Analyze process performance using operational data and measurable indicators.

Course Outline

Day 1

Process Improvement Principles and Fundamentals

  • The purpose and business value of process improvement.
  • Understanding processes, inputs, activities, outputs, and customers.
  • The relationship between process efficiency, quality, cost, and service delivery.
  • Common sources of process inefficiency and operational underperformance.
  • Introduction to continuous improvement and the PDCA cycle.
  • Process ownership, accountability, and stakeholder involvement.
  • Establishing improvement priorities based on organizational objectives.
  • Practical Exercise: Identify a process within a business or operational function and assess its main performance challenges and improvement opportunities.
Day 2

Process Mapping and Workflow Analysis

  • Identifying process boundaries, objectives, inputs, and outputs.
  • Documenting current-state processes and workflow sequences.
  • Developing flowcharts and basic process maps.
  • Identifying handoffs, decision points, delays, and duplication.
  • Analyzing process responsibilities and communication gaps.
  • Distinguishing value-added, necessary non-value-added, and unnecessary activities.
  • Assessing process complexity and opportunities for simplification.
  • Practical Exercise: Create a current-state process map and identify bottlenecks, unnecessary steps, and opportunities to streamline the workflow.
Day 3

Root Cause Analysis and Waste Identification

  • Defining process problems and establishing clear problem statements.
  • Collecting relevant information to understand process performance.
  • Applying the Five Whys technique to investigate underlying causes.
  • Using fishbone diagrams to categorize potential causes.
  • Introduction to Pareto analysis and prioritization of recurring problems.
  • Recognizing common forms of operational waste, including waiting, rework, overprocessing, and unnecessary movement.
  • Distinguishing root causes from symptoms and temporary solutions.
  • Practical Exercise: Analyze a recurring operational problem using the Five Whys and a fishbone diagram, then prioritize the most significant causes.
Day 4

Developing and Implementing Process Improvements

  • Generating improvement options based on identified process gaps.
  • Simplifying workflows and eliminating unnecessary activities.
  • Prioritizing improvement initiatives according to impact, effort, cost, and feasibility.
  • Developing action plans with responsibilities and implementation milestones.
  • Assessing operational risks and potential unintended consequences.
  • Engaging stakeholders and managing resistance to process changes.
  • Applying the PDCA cycle to test and implement improvements.
  • Practical Exercise: Develop a process improvement action plan that addresses identified root causes and defines responsibilities, milestones, and expected benefits.
Day 5

Measuring Results and Sustaining Improvements

  • Establishing baseline performance before implementing changes.
  • Selecting process indicators, including cycle time, error rates, productivity, and rework.
  • Comparing actual results against improvement targets.
  • Monitoring process stability and identifying emerging performance gaps.
  • Standardizing improved workflows and documenting revised procedures.
  • Assigning process ownership and defining monitoring responsibilities.
  • Reviewing improvement outcomes and identifying further opportunities.
