Course Overview

The Transportation & Fleet Management Training Course equips transport and fleet professionals with the practical knowledge and tools needed to manage vehicles, drivers, and transport operations safely, efficiently, and cost-effectively. In government entities, ministries, municipalities, utilities, healthcare organizations, banks, distribution companies, and large corporations, fleets represent a significant investment and a major ongoing operating cost. At the same time, fleets carry substantial safety, legal, environmental, and reputational responsibilities. Well-managed fleets deliver reliable service at a controlled cost; poorly managed fleets generate excessive fuel and maintenance spending, low vehicle availability, road incidents, and compliance exposure. Many organizations manage fleets reactively. Vehicles may be acquired without a clear needs assessment or lifecycle cost analysis, fleet size may exceed actual requirements while utilization remains low, replacement decisions may be delayed until vehicles become unreliable and expensive to maintain, and maintenance may be driven by breakdowns rather than planned schedules. Fuel consumption may not be monitored closely, driver behavior and fatigue may go unmanaged, telematics data may be collected but not used, and accident and compliance records may be incomplete. This course provides a structured, end-to-end approach to transportation and fleet management. Participants learn how to develop a fleet strategy aligned with organizational service needs, determine the right fleet size and mix, and make acquisition decisions using whole-life cost analysis, including purchase, lease, and rental options. The program covers vehicle specification, preventive maintenance planning, fuel management and control, replacement and disposal policies, driver management and training, road safety management informed by ISO 39001 principles, transport planning, routing and scheduling, telematics and fleet management systems, regulatory compliance, insurance and accident management, environmental performance and the transition to low-emission and electric vehicles, fleet outsourcing, and fleet performance measurement and cost control. The course is delivered through an interactive, application-focused approach with case studies, cost calculations, and group exercises. Participants leave with a fleet utilization analysis, a whole-life cost comparison model, a vehicle replacement policy outline, a fuel control checklist, a driver safety management plan, a fleet KPI dashboard design, and an improvement plan for their fleet operations.

Learning Objectives

  • Analyze the role of transportation and fleet management in service delivery, operating cost, and organizational risk on Day 1.
  • Evaluate the participant's current fleet operations and identify priority gaps in cost, utilization, safety, and compliance.
  • Develop a fleet strategy that aligns fleet size, composition, and deployment with organizational service requirements.
  • Apply fleet utilization analysis to identify underused vehicles and opportunities for right-sizing and vehicle pooling.
  • Evaluate vehicle acquisition options, including purchase, lease, and rental, using whole-life cost analysis.
  • Develop vehicle specification and replacement policies based on age, mileage, condition, cost, and reliability.
  • Implement preventive maintenance programs that improve vehicle availability and reduce breakdowns and repair costs.
  • Implement fuel management controls that monitor consumption, detect misuse, and improve fuel efficiency.
  • Design driver management and road safety programs covering selection, licensing, training, behavior monitoring, and fatigue management, informed by ISO 39001 principles.
  • Apply route planning, scheduling, and telematics data to improve transport efficiency and service reliability.
  • Assess regulatory compliance, insurance, accident management, environmental performance, and outsourcing options for fleet operations.
  • Design a fleet KPI dashboard and improvement plan for the participant's organization by the end of Day 5.

Who Should Attend

This course is designed for fleet managers, transport managers, motor pool and garage managers, fleet coordinators, transport planners and dispatchers, and logistics managers responsible for vehicles, drivers, and transport operations. It is also relevant for fleet maintenance supervisors, health and safety professionals responsible for road safety, procurement professionals involved in vehicle acquisition and fleet service contracts, and finance professionals who manage fleet budgets and costs. It is particularly valuable for professionals in ministries, government entities, and municipalities managing official vehicles, service fleets, and heavy equipment; in utilities managing field service and emergency response fleets; in healthcare organizations managing ambulances and patient transport; in banks and financial institutions managing staff transport and pool vehicles; and in distribution, retail, manufacturing, construction, and service organizations operating delivery vehicles, trucks, buses, and specialized vehicles. Operations managers, administrative services managers, and senior leaders responsible for transport budgets and road safety performance will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain how fleet decisions affect service reliability, operating costs, safety, and environmental performance.
  • Analyze fleet utilization data and identify opportunities to reduce fleet size or reallocate vehicles.
  • Compare purchase, lease, and rental options using whole-life cost calculations.
  • Develop clear vehicle specifications that match operational needs and minimize lifecycle cost.
  • Set practical vehicle replacement criteria and plan replacement cycles.
  • Plan preventive maintenance schedules and monitor vehicle availability and maintenance performance.
  • Monitor fuel consumption, identify irregularities, and apply fuel efficiency measures.
  • Manage driver licensing, training, performance, and fatigue to reduce road risk.
  • Use telematics and fleet management systems to improve routing, scheduling, and driver behavior.
  • Manage accidents, insurance claims, and regulatory compliance in a structured way.
  • Evaluate low-emission and electric vehicle options and fleet outsourcing arrangements.
  • Monitor fleet performance using indicators such as vehicle utilization, cost per kilometer, vehicle availability, fuel efficiency, and accident rates.
