Course Overview

The Stocktaking, Inventory Audit & Reconciliation Training Course equips inventory, stores, finance, and audit professionals with the methods and controls needed to count inventory accurately, reconcile physical quantities with system records, investigate variances, and provide reliable assurance over inventory balances. In government entities, ministries, banks, healthcare organizations, manufacturing and retail companies, and large corporations, inventory is a significant asset that must be properly safeguarded and accurately reported. Stocktaking and inventory audit are the primary means by which organizations confirm that recorded stock actually exists, is complete, is correctly valued, and is under proper control. Many organizations treat the annual stocktake as a year-end formality rather than a structured control process. Counts may be poorly planned, stock movements may not be frozen, cut-off procedures may be unclear, count teams may lack training, and count sheets may be pre-filled with system quantities, reducing independence. Variances may be adjusted without proper investigation or approval, root causes may remain unaddressed, and slow-moving, obsolete, damaged, and third-party stock may not be identified or treated correctly. The result is repeated discrepancies, unreliable financial statements, audit findings, and undetected losses. This course provides a practical, end-to-end approach to stocktaking and inventory audit. Participants learn the objectives of stocktaking and the key assertions that inventory audits test, including existence, completeness, accuracy, valuation, cut-off, and rights and obligations. The program covers planning full physical counts and cycle counting programs, count methods and controls such as blind counts, independent count teams, tag and count sheet control, and movement freezes, and cut-off procedures for receipts, issues, returns, and goods in transit. It then addresses reconciliation of physical counts with system records, variance analysis and root cause investigation, adjustment and write-off approval, identification and treatment of slow-moving, obsolete, damaged, consignment, and third-party stock, inventory valuation and provisions, fraud risk indicators, audit observation and test counts, documentation and reporting, and the use of barcode scanning, RFID, and ERP count functions. The course is delivered through an interactive, application-focused approach with realistic count scenarios, reconciliation exercises, case studies, and review of sample count documentation. Participants leave with a stocktake planning checklist, count instructions for count teams, a cut-off checklist, a reconciliation and variance investigation template, an inventory audit program outline, a stocktake report template, and an improvement plan for inventory counting and control in their organization.

Learning Objectives

  • Analyze the objectives of stocktaking and inventory audit and their role in asset protection and reliable financial reporting on Day 1.
  • Evaluate the participant's current stocktaking, reconciliation, and inventory audit practices and identify priority weaknesses.
  • Apply inventory audit assertions, including existence, completeness, accuracy, valuation, cut-off, and rights and obligations, to plan effective counts and audit procedures.
  • Design a full physical stocktake plan covering scope, timing, team structure, roles, instructions, materials, and communication.
  • Develop a cycle counting program that prioritizes items by value, criticality, and risk and improves record accuracy throughout the year.
  • Implement count controls, including blind counts, independent count and check teams, tag and count sheet control, and movement freezes.
  • Apply cut-off procedures for receipts, issues, returns, transfers, and goods in transit to ensure counts reflect the correct period.
  • Perform reconciliation between physical counts and system records and quantify and classify variances.
  • Analyze the root causes of inventory variances and develop corrective actions that address process, system, and control weaknesses.
  • Evaluate the identification and treatment of slow-moving, obsolete, damaged, expired, consignment, and third-party stock, including valuation and provisions.
  • Apply audit procedures for observing stocktakes and performing test counts from floor to records and from records to floor.
  • Design a stocktake report and an improvement plan for inventory counting and control in the participant's organization by the end of Day 5.

Who Should Attend

This course is designed for inventory managers and controllers, stores and warehouse managers and supervisors, storekeepers, and materials management professionals responsible for maintaining accurate stock records and conducting counts. It is also highly relevant for finance managers, accountants, and cost accountants responsible for inventory valuation and reporting, and for internal auditors, external audit professionals, and compliance and risk specialists who provide assurance over inventory. It is particularly valuable for professionals in ministries and government entities managing central stores and public assets subject to government audit requirements; in healthcare organizations managing medical supplies and pharmaceuticals with expiry and controlled item requirements; in banks and financial institutions managing central supplies, IT equipment, and branch stock; and in manufacturing, retail, distribution, utilities, and service organizations with significant inventory holdings across multiple locations. Procurement professionals, ERP and inventory systems specialists, and managers who approve stock adjustments and write-offs will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain the purpose of stocktaking and inventory audit and the risks they are designed to address.
  • Relate each inventory audit assertion to specific count and audit procedures.
  • Plan a full physical stocktake with clear scope, roles, timing, and instructions.
  • Design a risk-based cycle counting program suitable for their inventory.
  • Apply count controls that ensure independence, completeness, and accuracy of counts.
  • Apply correct cut-off procedures and identify cut-off errors.
  • Reconcile physical counts with system records and present variances clearly.
  • Investigate variances systematically and identify their root causes.
  • Prepare adjustments and write-off requests with proper supporting evidence and approval.
  • Identify slow-moving, obsolete, damaged, expired, and third-party stock and apply the appropriate treatment.
  • Recognize red flags of inventory loss, manipulation, and fraud during counts and reconciliations.
  • Prepare a clear stocktake report with findings and recommendations for management.
