Course Overview

The Spare Parts & MRO Inventory Management Training Course equips maintenance, materials, and supply chain professionals with the specialized methods needed to manage spare parts and maintenance, repair, and operations inventory in a way that protects asset availability while controlling cost. In government entities, utilities, healthcare organizations, transport operators, manufacturing plants, facilities management, and large corporations, the availability of the right spare part at the right time can determine whether critical equipment is restored in hours or remains out of service for weeks. At the same time, spare parts inventories often grow into large, slow-moving stocks that tie up significant capital and storage space. Spare parts and MRO items behave very differently from production or commercial inventory. Demand is often irregular and unpredictable, many items are used rarely but are essential when needed, lead times can be long, and the cost of a stockout is linked to equipment downtime rather than simply to the item's price. As a result, standard inventory formulas and generic reorder rules frequently lead to both shortages of critical parts and excess stock of items that are no longer needed. Common problems include stocking decisions made without reference to equipment criticality, poor or duplicated part descriptions, parts that deteriorate in storage, repairable items that are not tracked, obsolete parts for retired equipment, and weak coordination between maintenance, stores, procurement, and finance. This course provides a practical, asset-focused approach to spare parts and MRO inventory. Participants learn the characteristics and categories of spare parts, including critical spares, insurance spares, consumables, and repairable or rotable items, and how spare parts decisions link to maintenance strategy, the asset register, and equipment bills of materials. The program covers equipment and spare parts criticality analysis, stock versus non-stock decisions, forecasting methods for intermittent demand, setting min-max levels for slow-moving items, and the economics of insurance spares. It also addresses repairable item management, obsolescence management, interchangeability and alternative sourcing, cataloguing and data quality, preservation of spares in storage, kitting for preventive maintenance and planned shutdowns, supplier arrangements such as consignment and vendor-managed inventory, spare parts pooling, performance indicators, and governance between maintenance, stores, procurement, and finance. The course is delivered through an interactive, application-focused approach with spreadsheet-based exercises, worked examples, and case studies. Participants leave with a spare parts criticality model, a stocking decision framework, min-max calculations for slow-moving items, an insurance spares evaluation, a spare parts preservation checklist, an MRO KPI dashboard design, and an improvement plan for their organization.

Learning Objectives

  • Analyze the characteristics of spare parts and MRO inventory and how they differ from production and commercial inventory on Day 1.
  • Evaluate the participant's current spare parts management practices and identify key gaps, risks, and excess stock.
  • Apply equipment and spare parts criticality analysis to prioritize parts based on safety, service, operational, and cost impact.
  • Link spare parts requirements to maintenance strategy, the asset register, and equipment bills of materials.
  • Develop a stocking decision framework that determines which parts to stock, which to source on demand, and which to cover through supplier arrangements.
  • Apply forecasting and inventory methods suitable for intermittent and slow-moving demand to set min-max and reorder levels.
  • Evaluate the economics of insurance and capital spares by comparing holding cost with the cost and risk of equipment downtime.
  • Implement effective management of repairable and rotable items, including tracking, repair cycles, and repair versus replace decisions.
  • Develop approaches for obsolescence management, interchangeability, and alternative sourcing of spare parts.
  • Improve spare parts cataloguing and data quality to eliminate duplicates and support accurate identification.
  • Apply storage and preservation practices that protect spare parts from deterioration and ensure readiness for use.
  • Design an MRO KPI dashboard and spare parts improvement plan for the participant's organization by the end of Day 5.

Who Should Attend

This course is designed for maintenance managers and planners, reliability engineers, materials and spare parts managers, stores managers and supervisors, inventory controllers, and cataloguing and material master data specialists responsible for the availability and control of spare parts and MRO materials. It is also relevant for procurement professionals who source spare parts, asset managers, and engineering staff involved in equipment selection and bills of materials. It is particularly valuable for professionals in ministries and government entities managing public infrastructure, fleets, and facilities; in utilities such as power, water, and telecommunications; in healthcare organizations managing medical equipment spare parts; in transport, aviation, and rail operators; and in manufacturing, mining, construction, and facilities management organizations maintaining large equipment bases. Finance professionals responsible for inventory valuation and provisions, internal auditors, and operations managers who depend on high equipment availability will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain why spare parts and MRO inventory require different management approaches from other types of inventory.
  • Classify spare parts into categories such as critical spares, insurance spares, consumables, and repairable items.
  • Conduct a criticality analysis that links equipment importance to spare parts priorities.
  • Use equipment bills of materials and maintenance plans to identify spare parts requirements.
  • Decide whether a part should be stocked, sourced on demand, or covered through supplier or pooling arrangements.
  • Set min-max and reorder levels for slow-moving and intermittent demand items using appropriate methods.
  • Evaluate whether an insurance spare is justified based on downtime cost, lead time, and failure likelihood.
  • Track and manage repairable and rotable items throughout their repair cycles.
  • Identify obsolete and at-risk parts and plan appropriate obsolescence actions.
  • Clean and standardize spare parts descriptions and identify duplicates and interchangeable items.
  • Apply storage and preservation requirements to keep spare parts in serviceable condition.
  • Monitor MRO performance using indicators such as critical spares availability, stockout impact on downtime, inventory turnover, dead stock value, and inventory value relative to asset value.
