Course Overview

The Purchasing Skills for Procurement Professionals Training Course equips buyers, purchasing officers, and procurement staff with the practical, day-to-day skills needed to purchase goods and services efficiently, accurately, and ethically while achieving the best value for their organization. In government entities, ministries, banks, healthcare systems, energy and utility companies, manufacturing, construction, and service organizations, and large corporations, buyers handle a high volume of requisitions, quotations, purchase orders, and supplier interactions every day. The quality of these routine activities has a direct impact on cost, delivery reliability, compliance, and the satisfaction of internal customers. Many buyers learn their role on the job and may not have had the opportunity to develop a structured set of purchasing skills. Common challenges include incomplete or unclear requisitions, requests for quotation that produce offers that cannot be compared, quotation analysis that overlooks delivery, payment, warranty, and other cost elements, purchase orders with missing or inconsistent terms, and limited follow-up until a delivery is late. Buyers may also struggle with time pressure, competing priorities, difficult conversations with suppliers and internal customers, and questions about gifts, hospitality, and conflicts of interest. This course focuses on practical skills that buyers can apply immediately. Participants learn the role and core competencies of an effective buyer, how to review and clarify requisitions, understand specifications, and prepare clear requests for quotation. The program covers identifying and approaching suppliers, analyzing and comparing quotations, including normalizing offers and identifying hidden costs, basic price and cost analysis, and simple total cost calculations. Participants practice professional written and verbal communication with suppliers, negotiation techniques for everyday purchases, and preparing accurate purchase orders, including key terms, delivery terms, and basic Incoterms. The course also addresses expediting and follow-up techniques, handling delays, non-conforming deliveries, returns, and invoice discrepancies, maintaining complete procurement records, working with ERP and e-procurement systems, using spreadsheets for purchasing analysis, managing time and priorities, serving internal customers, and applying ethical standards in daily purchasing. The course is highly practical and exercise-based, using realistic requisitions, quotations, purchase orders, and supplier scenarios. Participants leave with a requisition review checklist, a request for quotation template, a quotation comparison sheet, a purchase order checklist, an expediting and follow-up tracker, supplier communication templates, and a personal skills development plan.
