Course Overview

The Project Dashboards & Reporting with Power BI Training Course equips project managers, PMO professionals, project control specialists, and analysts with the practical skills needed to design and build interactive, reliable, and decision-focused project and portfolio dashboards using Microsoft Power BI. In government entities, ministries, public authorities, banks, healthcare systems, energy and utility companies, construction, engineering, and technology organizations, and large corporations, leadership expects timely visibility of project status, milestones, cost, risk, resources, and benefits. Power BI enables PMOs to move from manual, spreadsheet-based status reports to automated dashboards that give sponsors and executives a consistent and current view of performance. Many PMOs spend significant time each reporting cycle collecting data from project managers, consolidating spreadsheets, and producing slide decks that are outdated by the time they are presented. Data may be inconsistent across projects, calculations may be performed manually, and reports may show large amounts of information without highlighting the issues and decisions that matter. Where Power BI has been introduced, dashboards may be difficult to maintain, built on poorly structured data models, cluttered with visuals, or shared without appropriate security and refresh arrangements. This hands-on course combines project reporting principles with practical, step-by-step use of Power BI. Participants learn how to define reporting requirements for different audiences, select meaningful project and portfolio KPIs, and design reports that support decisions. The program covers connecting to and preparing project data from common sources, including project scheduling tools, spreadsheets, SharePoint lists, and enterprise systems, using Power Query to clean, transform, and combine data, and building robust data models with relationships and date tables. Participants learn DAX fundamentals for creating measures such as variances, schedule and cost performance indices, milestone adherence, risk exposure, and time-based trends. The course then guides participants through building project dashboards for status and milestones, schedule and cost performance, earned value and S-curves, risks and issues, resources, and benefits, as well as portfolio-level views, applying design principles, interactivity features such as slicers, drill-through, bookmarks, and tooltips, and data storytelling. Participants also learn how to publish and share reports, set up data refresh, apply row-level security, establish report governance and data quality standards, and drive adoption. This course builds practical Power BI and reporting skills and is not an official Microsoft certification program. The course is delivered through intensive hands-on exercises in which each participant builds a complete project and portfolio reporting solution in Power BI using realistic project datasets. Participants leave with a reporting requirements template, a project KPI definition sheet, a Power BI data model for project reporting, a library of DAX measures for project performance, completed project and portfolio dashboards, a dashboard design checklist, and a report governance and refresh plan.

Learning Objectives

  • Analyze project and portfolio reporting needs of different audiences, including project teams, PMOs, sponsors, steering committees, and executives, on Day 1.
  • Select and define project and portfolio KPIs covering status, milestones, schedule, cost, earned value, risks, issues, resources, and benefits.
  • Navigate Power BI Desktop and the Power BI Service and understand their roles in a reporting solution.
  • Connect to project data from common sources, including project scheduling tools, spreadsheets, SharePoint lists, and enterprise systems.
  • Apply Power Query to clean, transform, merge, and append project data into a reliable reporting dataset.
  • Build robust data models using star schema principles, relationships, and date tables for project and portfolio reporting.
  • Develop DAX measures for variances, schedule and cost performance indices, milestone adherence, risk exposure, and time-based trends.
  • Design project dashboards for status, milestones, schedule and cost performance, earned value and S-curves, risks and issues, resources, and benefits.
  • Design portfolio dashboards that enable comparison, prioritization, and drill-down from portfolio to project level.
  • Apply data visualization principles and interactivity features, including slicers, drill-through, bookmarks, and tooltips, to create clear and usable reports.
  • Publish and share reports securely, configure data refresh, and apply row-level security.
  • Establish report governance, data quality standards, and adoption practices for PMO reporting by the end of Day 5.

Who Should Attend

This course is designed for project managers, PMO managers and analysts, project control engineers, planners, and portfolio analysts responsible for preparing project and portfolio reports. It is also highly relevant for business intelligence and reporting specialists supporting PMOs, performance management professionals, and program managers who want to build or improve dashboards for sponsors and executives. It is particularly valuable for professionals in ministries, government entities, and public authorities reporting on infrastructure, digital government, and transformation portfolios; in banks and financial institutions reporting on technology and change portfolios; in healthcare systems reporting on facility and system projects; and in energy, utilities, oil and gas, construction, engineering, and technology organizations managing capital and project portfolios. Participants should be comfortable using spreadsheets; no prior Power BI experience is required, although participants with basic Power BI knowledge will also benefit from the project-specific content.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Identify what different audiences need from project and portfolio reports.
  • Define clear, consistent KPIs for project and portfolio performance.
  • Connect Power BI to typical project data sources.
  • Clean and combine project data using Power Query.
  • Build a reliable data model that supports accurate project reporting.
  • Write DAX measures for key project performance indicators and trends.
  • Create S-curves, milestone trackers, risk views, and resource charts in Power BI.
  • Build a portfolio dashboard with drill-down to individual projects.
  • Design dashboards that are clear, uncluttered, and focused on decisions.
  • Use interactivity features to help users explore information easily.
  • Publish, share, secure, and refresh reports in the Power BI Service.
  • Set up governance and data quality practices that keep dashboards trusted and maintained.
