Course Overview

The Microsoft Project for Project Planning & Control Training Course equips project managers, planners, PMO staff, and team leaders with the practical skills needed to plan, schedule, resource, track, and report on projects using Microsoft Project. In government entities, ministries, banks, healthcare systems, energy and utility companies, IT and digital teams, construction and engineering organizations, and large corporations, Microsoft Project is widely used to manage projects ranging from infrastructure and facilities to technology implementations, transformation programs, and operational initiatives. Used well, it provides a clear picture of scope, timelines, workload, cost, and progress; used poorly, it produces schedules that look detailed but cannot be trusted. Many users learn Microsoft Project by trial and error. Tasks may be entered as lists with fixed dates rather than logically linked activities, manual scheduling and constraints may override the schedule logic, task types and effort-driven settings may produce unexpected results, and resources may be overallocated without being noticed. Baselines may not be set, progress may be recorded inconsistently, and reports may not show variances or the critical path clearly. As a result, schedules do not respond correctly to change, delays are discovered late, and managers lose confidence in the plan. This hands-on course combines project planning and control principles with practical, step-by-step use of Microsoft Project. Participants learn scheduling fundamentals, including work breakdown structures, the critical path method, slack, calendars, and constraints, and how Microsoft Project calculates schedules. The program covers setting up projects and calendars, building a work breakdown structure with summary tasks and milestones, entering durations, linking tasks with dependencies, leads, and lags, understanding automatic and manual scheduling, applying constraints and deadlines, and analyzing the critical path. Participants then learn to define work, material, and cost resources, assign resources, understand task types and effort-driven scheduling, manage costs, identify and resolve overallocations, and use leveling and the team planner. The course also covers setting baselines, tracking progress using status dates, actual work, percent complete, and remaining duration, analyzing variances and earned value, customizing views, tables, filters, groups, and fields, using the timeline and built-in reports and dashboards, managing multiple projects with shared resource pools and master projects, creating templates, and exporting and sharing project information. This course builds practical software and project control skills and is not an official Microsoft certification program. The course is delivered through intensive hands-on exercises in which each participant builds, resources, baselines, tracks, and reports on a complete case study project in Microsoft Project. Participants leave with a fully developed practice project file, a project setup checklist, a schedule quality checklist, customized views and reports, a progress tracking procedure, and a reusable project template.

Learning Objectives

  • Analyze project planning and control principles, including work breakdown structures, the critical path method, slack, calendars, and constraints, on Day 1.
  • Navigate the Microsoft Project interface and apply views, tables, and project options effectively.
  • Set up new projects with appropriate project information, calendars, and scheduling settings.
  • Develop a work breakdown structure using summary tasks, subtasks, and milestones with realistic durations.
  • Build logic-driven schedules using task dependencies, leads, and lags and apply automatic scheduling correctly.
  • Apply constraints and deadlines appropriately and analyze the critical path and slack.
  • Define work, material, and cost resources and assign them to tasks with correct task types and effort-driven settings.
  • Manage project costs and analyze resource workload to identify and resolve overallocations using leveling and the team planner.
  • Establish baselines and track progress using status dates, actual work, percent complete, and remaining duration.
  • Analyze schedule, work, and cost variances and apply basic earned value measures in Microsoft Project.
  • Customize views, tables, filters, groups, fields, the timeline, reports, and dashboards to communicate project status clearly.
  • Manage multiple projects using shared resource pools and master projects and create reusable templates by the end of Day 5.

Who Should Attend

This course is designed for project managers, project coordinators, project planners, PMO analysts, and team leaders who plan and control projects using Microsoft Project. It is also highly relevant for engineers, IT and digital project leads, business analysts, and functional managers who contribute to project plans or need to review and interpret schedules prepared by internal teams or contractors. It is particularly valuable for professionals in ministries, government entities, and public authorities managing infrastructure, facilities, digital government, and transformation projects; in banks and financial institutions managing technology, regulatory, and business change projects; in healthcare systems managing facility, equipment, and system implementation projects; and in energy, utilities, construction, engineering, manufacturing, and service organizations managing capital, maintenance, and improvement projects. New project managers and professionals transitioning into project roles will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain key scheduling concepts and how Microsoft Project calculates a schedule.
  • Set up a project with the right start date, calendars, and scheduling options.
  • Build a clear work breakdown structure with summary tasks and milestones.
  • Link tasks logically so that the schedule updates correctly when changes occur.
  • Identify the critical path and understand the effect of slack and constraints.
  • Create resources and assign them correctly to tasks.
  • Understand how task types and effort-driven scheduling affect duration, work, and units.
  • Detect and resolve resource overallocations.
  • Set a baseline and record progress accurately.
  • Compare actual performance with the baseline and explain variances.
  • Create customized views and reports that communicate project status clearly.
  • Manage multiple projects and shared resources and reuse templates effectively.
