Course Overview

The Materials Management & Stores Control Training Course equips professionals with a structured, end-to-end approach to planning, identifying, acquiring, receiving, storing, issuing, and controlling materials across the organization. In government entities, ministries, banks, healthcare organizations, manufacturing companies, utilities, and large corporations, materials represent a substantial share of operating and capital spending. How well these materials are managed determines whether operations run smoothly, whether budgets are used efficiently, and whether public or shareholder assets are properly safeguarded. Materials management challenges often begin long before items reach the store. Material descriptions may be inconsistent or duplicated, the same item may be purchased under different codes, requirements may be raised without adequate planning, and stores may hold large quantities of items that are no longer needed while critical items run short. Within the stores, weak documentation, unclear responsibilities, informal issuing practices, poor physical security, and infrequent stock verification can lead to discrepancies, losses, and audit findings. Surplus, obsolete, and scrap materials are frequently left unmanaged, occupying space and tying up value. This course addresses the full materials management lifecycle. Participants learn the scope and objectives of materials management, material requirements planning and budgeting, and the critical role of cataloguing and codification, including material master data, standard naming conventions, classification systems, and duplicate elimination. The program covers standardization and variety reduction, the interface between materials management, procurement, and finance, and stores organization and control. It then addresses receiving and inspection, storage and preservation, issuing and returns, stores documentation and records, stock verification and reconciliation, material traceability, stores security and internal controls, management and disposal of surplus, obsolete, and scrap materials, material costing and valuation, and materials management performance indicators. The course is delivered through an interactive, application-focused approach with practical exercises, document reviews, and case studies. Participants leave with a material cataloguing and codification guide, a stores procedures outline, a stores documentation checklist, a stock verification plan, a surplus and obsolete materials disposal procedure, a materials management KPI dashboard design, and an improvement plan for their organization.

Learning Objectives

  • Analyze the scope, objectives, and value of integrated materials management in supporting operations and financial performance on Day 1.
  • Evaluate the participant's current materials management and stores practices and identify priority gaps and risks.
  • Apply material requirements planning and budgeting techniques to align material availability with operational needs.
  • Develop cataloguing and codification standards, including material master data, standard naming conventions, and classification structures.
  • Implement standardization and variety reduction measures that eliminate duplicate items and reduce unnecessary stock.
  • Align materials management processes with procurement, finance, operations, and maintenance to ensure clear responsibilities and smooth handovers.
  • Design stores organization and layout principles that support efficient storage, preservation, and retrieval of materials.
  • Implement controlled procedures for receiving, inspection, storage, issuing, transfers, and returns of materials.
  • Develop complete stores documentation and records that ensure traceability and accountability for all material movements.
  • Design stock verification and reconciliation programs that improve record accuracy and identify discrepancies early.
  • Develop procedures for identifying, evaluating, and disposing of surplus, obsolete, and scrap materials in a controlled and transparent manner.
  • Design a materials management KPI dashboard and improvement plan for the participant's organization by the end of Day 5.

Who Should Attend

This course is designed for materials managers, stores managers and supervisors, storekeepers, inventory controllers, materials planners, and cataloguing and material master data specialists responsible for the planning, identification, storage, and control of materials. It is also relevant for procurement and supply chain professionals, warehouse and logistics staff, and maintenance and operations planners who depend on timely availability of materials. It is particularly valuable for professionals in ministries and government entities managing central stores, public assets, and disposal of government surplus; in healthcare organizations managing medical consumables, equipment, and spare parts; in banks and financial institutions managing central supplies, IT equipment, and branch materials; and in manufacturing, utilities, transport, construction, and service organizations managing raw materials, spare parts, tools, and consumables across multiple sites. Finance and cost accounting professionals, internal auditors, and managers responsible for asset control and budget performance will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain how integrated materials management supports operational continuity, cost control, and asset protection.
  • Plan material requirements and prepare material budgets based on consumption data and operational plans.
  • Write clear, standardized material descriptions and assign consistent codes and classifications.
  • Identify and eliminate duplicate materials and reduce unnecessary variety in stock.
  • Define responsibilities and handovers between materials management, procurement, finance, and user departments.
  • Organize stores to improve storage efficiency, preservation, and ease of retrieval.
  • Apply controlled procedures for receiving, inspecting, storing, issuing, and returning materials.
  • Maintain accurate stores documentation, such as goods received notes, issue vouchers, bin cards, and transfer records.
  • Plan and conduct stock verification and investigate and resolve discrepancies.
  • Apply internal controls and security measures to prevent loss, theft, and misuse of materials.
  • Identify surplus, obsolete, and scrap materials and manage their disposal in line with policy.
