Course Overview

The Job Analysis & Job Description Writing Training Course equips human resources professionals, HR business partners, organizational development specialists, and managers with the knowledge and practical skills needed to analyze jobs systematically and write clear, accurate, and legally sound job descriptions that support the full range of human resources and organizational processes. Job analysis and well-written job descriptions are the foundation of effective human resources management: they underpin organization design, recruitment and selection, job evaluation and grading, compensation, performance management, competency frameworks, learning and development, workforce planning, and compliance. In government entities, ministries, public authorities, banks, healthcare systems, and corporations, outdated, inconsistent, or vague job descriptions lead to unclear accountabilities, unfair grading and pay, weak recruitment, and disputes. The course covers job analysis and job description writing from concepts to practical application. Participants learn the purpose and uses of job analysis and job descriptions, key concepts and terminology, including tasks, duties, responsibilities, accountabilities, competencies, and the distinction between a job, a role, and a position, and the relationship with organization structure and job architecture. The program then addresses job analysis methods, including interviews, questionnaires, observation, work diaries, and the use of existing documentation, planning and conducting a job analysis, and gathering and validating job information. Participants also learn to write each component of a job description, including job identification, job purpose, key responsibilities and accountabilities, performance indicators, reporting relationships, qualifications, experience, knowledge, skills, and competencies, and working conditions, using clear, action-oriented, and measurable language. The course further addresses writing job descriptions for different job families and levels, linking job descriptions to competency frameworks and job evaluation, avoiding common errors and bias, ensuring legal compliance and inclusivity, maintaining and updating job descriptions, and using technology and AI tools responsibly in job analysis and description writing. The course is delivered through job analysis exercises, job description writing and critique workshops, interviewing practice, and real examples across job families. Participants leave with a job analysis questionnaire and interview guide, a job description template, a responsibilities and accountabilities writing guide, a job description quality checklist, and a job description review and maintenance process outline.
