Course Overview

The Document Control & Electronic Document Management Systems (EDMS) Training Course equips document controllers, project and engineering document management staff, administrators, and quality and information management professionals with the knowledge and practical skills needed to control documents accurately and manage them through their lifecycle using sound document control practices and electronic document management systems. Document control is a critical discipline in engineering, construction, oil and gas, utilities, manufacturing, government, and other document-intensive environments, where projects and operations generate large volumes of drawings, specifications, procedures, contracts, and records that must be accurate, current, traceable, and available to the right people. Poor document control leads to work from outdated documents, errors, rework, safety incidents, compliance failures, and disputes, while effective control and well-used electronic systems ensure integrity, traceability, and efficiency. The course covers document control from fundamentals to systems and project application. Participants learn the role and importance of document control, key concepts and terminology, the document lifecycle, and the relationship of document control with quality management, project management, and records management. The program then addresses document identification, numbering, and metadata, document classification and filing structures, version and revision control, review, approval, and change control, and distribution, transmittals, and controlled copies. Participants also examine electronic document management systems, including their functions, workflows, access control, and security, master document registers and document control registers, handling engineering documents, drawings, and vendor documents, project document control and interface with contractors and clients, as-built and handover documentation, records management, retention, and archiving, audits and compliance, and emerging trends such as cloud document management, building information modelling interfaces, and the responsible use of automation and AI in document control. The course is delivered through practical exercises, numbering and register setup, workflow and transmittal simulations, and case studies from project and operational environments. Participants leave with a document numbering and metadata guide, a document control register and transmittal template, a review and change control workflow, an electronic document management system requirements checklist, and a document control procedure outline.
