Course Overview

The Digital PMO & Project Management Information Systems (PMIS) Training Course equips PMO leaders, portfolio and project managers, and digital and IT professionals with the knowledge and practical tools needed to transform the PMO through digital capabilities and to select, implement, and sustain project management information systems that improve visibility, control, collaboration, and decision making. In government entities, ministries, public authorities, banks, healthcare systems, energy and utility companies, construction, engineering, and technology organizations, and large corporations, PMOs are expected to manage growing portfolios with greater speed and transparency. Digital tools and integrated information systems allow PMOs to replace fragmented spreadsheets and manual reporting with reliable data, automated workflows, and real-time dashboards. Many PMO digitalization efforts do not deliver the expected results. Organizations may purchase a project management platform before defining processes, data standards, and reporting needs, or automate inconsistent processes that produce unreliable data. Systems may be heavily customized, poorly integrated with finance, procurement, human resources, and document management, or adopted only partially by project managers who continue to maintain their own spreadsheets. Data ownership and quality may be unclear, training may focus on system functions rather than ways of working, and benefits may not be measured. As a result, significant investments may produce limited improvement in portfolio visibility and control. This course provides a structured, vendor-neutral approach to building a digital PMO and implementing project management information systems. Participants learn how the role of the PMO is evolving, the services a digital PMO provides, and how to assess PMO digital maturity. The program covers the functional scope of PMIS and portfolio management platforms, including demand and intake management, portfolio prioritization, scheduling, cost and financial management, resource and capacity management, risk and issue management, document and collaboration management, timesheets, and reporting, as well as the landscape of enterprise portfolio management platforms, scheduling tools, work management and agile tools, collaboration platforms, and business intelligence tools. Participants then learn how to define requirements, standardize processes and data before automation, design data models and master data such as portfolio structures, project codes, and resource pools, and plan integrations with enterprise resource planning, finance, procurement, human resources, and document management systems. The course also addresses vendor evaluation and selection, including requests for proposal, demonstrations, proofs of concept, total cost of ownership, cloud and on-premises options, security, and data residency considerations, followed by implementation planning, configuration, data migration, testing, phased rollout, training, and change management. Finally, participants explore PMIS governance and data quality, workflow automation, artificial intelligence features, cybersecurity, measuring the value of the digital PMO, and building a continuous improvement roadmap. The course is delivered through an interactive, application-focused approach with maturity assessments, requirements workshops, vendor evaluation exercises, implementation planning, and case studies. Participants leave with a digital PMO maturity assessment, a PMIS requirements template, a process and data standards checklist, an integration map, a vendor evaluation matrix, a PMIS implementation and adoption plan, and a digital PMO roadmap for their organization.

Learning Objectives

  • Analyze the evolving role of the PMO and the capabilities and services of a digital PMO on Day 1.
  • Assess the digital maturity of the participant's PMO across processes, data, tools, reporting, integration, and people.
  • Evaluate the functional scope of project management information systems and portfolio management platforms, including demand, portfolio, schedule, cost, resource, risk, document, collaboration, and reporting functions.
  • Assess the landscape of enterprise portfolio management platforms, scheduling tools, work management and agile tools, collaboration platforms, and business intelligence tools.
  • Develop clear business, functional, technical, and reporting requirements for a PMIS.
  • Standardize project management processes and data before automation to ensure reliable and consistent information.
  • Design PMIS data models and master data, including portfolio structures, project codes, work breakdown structures, and resource pools.
  • Plan integrations between the PMIS and enterprise resource planning, finance, procurement, human resources, document management, and business intelligence systems.
  • Apply structured vendor evaluation and selection methods, including requests for proposal, demonstrations, proofs of concept, total cost of ownership, security, and data residency considerations.
  • Develop PMIS implementation plans covering configuration, data migration, testing, phased rollout, training, and change management.
  • Establish PMIS governance, data ownership, data quality, access control, workflow automation, and responsible use of artificial intelligence features.
  • Design measures of digital PMO value and a digital PMO roadmap for continuous improvement by the end of Day 5.

Who Should Attend

This course is designed for PMO heads, PMO managers and analysts, portfolio managers, program and project managers, and project control professionals responsible for improving PMO capabilities, tools, and reporting. It is also highly relevant for IT, enterprise applications, digital transformation, and business intelligence professionals involved in selecting, implementing, or supporting project and portfolio management systems, as well as procurement professionals involved in acquiring such systems. It is particularly valuable for professionals in ministries, government entities, and public authorities establishing or modernizing PMOs and national or entity-level project portfolios; in banks and financial institutions managing technology and change portfolios; in healthcare systems managing facility, clinical, and system programs; and in energy, utilities, oil and gas, construction, engineering, and technology organizations managing capital and project portfolios. Senior executives and sponsors who approve investments in PMO systems and expect improved portfolio visibility will also benefit from the course.

Learning Outcomes

  • By the end of the course, participants will be able to:
  • Explain what a digital PMO is and how it adds value to the organization.
  • Assess their PMO's digital maturity and identify priority improvements.
  • Describe the main functions of project and portfolio management systems.
  • Distinguish between different categories of project and portfolio tools and how they fit together.
  • Define clear requirements before engaging vendors.
  • Standardize processes and data so that systems produce reliable information.
  • Design the core data structures needed for portfolio and project reporting.
  • Plan integrations with finance, procurement, human resources, and other enterprise systems.
  • Evaluate and compare vendors and solutions objectively.
  • Plan and lead a phased PMIS implementation with effective training and change management.
  • Establish governance and data quality practices that keep system information trusted.
  • Measure the value of the digital PMO and plan continuous improvement.
