Course Overview

The Contract Administration & Post-Award Management Training Course equips contract administrators, contract managers, and project and procurement staff with the practical procedures, documentation standards, and controls needed to administer contracts accurately and efficiently from award through final closeout. In government entities, ministries, banks, healthcare systems, energy and utility companies, manufacturing, construction, and service organizations, and large corporations, the day-to-day administration of contracts determines whether obligations are met on time, payments are correct, changes are properly authorized, and the organization's contractual rights are preserved. Small administrative errors, such as an expired bond, a missed notice, or an unauthorized change, can have significant financial and legal consequences. Post-award administration is often treated as routine paperwork, yet it is where many contract problems originate. Performance securities and insurances may expire without being noticed, correspondence and formal notices may be sent through the wrong channels or not recorded, deliverables and approvals may not be tracked, goods and services may be accepted without proper inspection, and progress payments may be processed without correct deductions for retention, advance payment recovery, or delay damages. Change orders may be issued outside delegated authority, variation and claims logs may be incomplete, and contracts may remain open long after completion because final accounts and releases have not been settled. This course provides a comprehensive, practical guide to contract administration and post-award management. Participants learn the post-award administrative cycle, starting with award notification, contract signing and execution formalities, verification of performance securities, advance payment guarantees, and insurance, and setting up the contract file and administration system. The program covers correspondence and formal notices, meetings and minutes, progress reporting, document control, submittals and approvals, and tracking of deliverables and obligations. It then addresses inspection, testing, acceptance, and completion certificates, payment administration including progress payments, retention, advance payment recovery, deductions, and delay damages, change order administration within delegated authority, extension of time administration, variation and claims logs, subcontractor approvals, and compliance monitoring for requirements such as health and safety, local content, and labor. Participants also learn how to administer contract amendments, extensions, renewals, suspension, and termination, and how to complete closeout, including final accounts, final payments, release of securities and retention, handover documentation, defects liability and warranty tracking, and archiving. The course is delivered through an interactive, application-focused approach with realistic document exercises, case studies, and simulations of administrative scenarios. Participants leave with a contract file checklist, a securities and insurance tracking register, a correspondence and notices log, a deliverables and approvals tracker, a payment certification checklist, a change order and variation log, and a contract closeout checklist.

Who Should Attend

This course is designed for contract administrators, contracts officers, contract managers, procurement officers, and project control and document control staff responsible for administering contracts after award. It is also highly relevant for project managers, site and resident engineers, quantity surveyors, and finance and accounts payable staff involved in progress reporting, acceptance, payment certification, and contract records. It is particularly valuable for professionals in ministries, government entities, and public authorities administering contracts for works, goods, services, and consultancy; in banks and financial institutions administering technology, outsourcing, facility, and professional service contracts; in healthcare systems administering supply, maintenance, and service contracts; and in energy, utilities, manufacturing, construction, and service organizations administering operational, maintenance, and project contracts. Internal auditors, compliance officers, and supervisors of contract administration teams will also benefit from the course.
