Course Overview

The Commercial Leasing & Tenant Relationship Management Training Course equips leasing managers, property managers, asset teams, and public-sector landlords with the management skills needed to let office and retail space well and to keep good tenants over the long term. Across the Gulf and Africa, new business districts, malls, and government-owned estates are competing for the same occupiers, and income now depends as much on how tenants are treated after signing as on how the space was marketed before it. The course follows the full commercial lease cycle. Participants examine leasing strategy for office and retail assets, market positioning, tenant mix planning, anchor and specialty retail tenants, inquiry handling, and the screening of prospective occupiers. They then work through heads of terms, lease structures, rent reviews, incentives, turnover rent, break and renewal options, measurement of floor area using IPMS, and the allocation of repair, insurance, and operating costs between landlord and tenant. The focus is on commercial judgment and governance rather than drafting law, so that managers know when to involve legal advisers. The second half of the program treats the tenant as a long-term customer. Participants design onboarding and fit-out coordination, transparent service charge budgeting and reconciliation, tenant communication, complaint handling, and satisfaction measurement. They also address arrears management, dispute escalation, rent collection controls, retention planning, and renewal negotiation. Lease registers, delegations of authority, and the data that finance teams need for IFRS 16 reporting are covered as control topics, and participants review how lease registration and tenancy rules should be built into internal procedures in each jurisdiction. The course is delivered through office and retail case studies, tenant mix exercises, negotiation role plays, service charge reviews, and a final leasing workshop. Participants leave with a tenant mix plan, a heads of terms template, a tenant onboarding checklist, a service charge communication outline, a retention scorecard, and a leasing and tenant relationship plan they can adapt to their own assets.

Learning Objectives

  • Analyze the demand drivers, competing supply, and occupier needs that shape office and retail leasing decisions.
  • Develop a leasing strategy and positioning statement for a commercial asset or a mixed portfolio.
  • Plan a tenant mix that balances anchor tenants, specialty retailers, and income stability across the asset.
  • Structure heads of terms covering rent, term, incentives, rent reviews, and break and renewal options.
  • Compare gross, net, and turnover rent structures and judge their effect on income and tenant viability.
  • Apply consistent area measurement using IPMS and explain clearly to tenants how it relates to the area stated in the lease.
  • Establish screening and approval controls, including delegations of authority for non-standard lease terms.
  • Design tenant onboarding and fit-out coordination processes that protect the building and the opening date.
  • Prepare transparent service charge budgets, reconciliations, and tenant communications that build trust.
  • Manage arrears, complaints, and disputes through clear escalation routes and documented decisions.
  • Measure tenant satisfaction and use the results to set retention priorities and service improvements.
  • Plan renewal negotiations early and evaluate the commercial case for retaining, relocating, or replacing a tenant.

Who Should Attend

This course is designed for leasing managers, commercial property managers, mall and retail managers, tenant relations officers, asset managers, and customer service leads responsible for office and retail space. It is equally relevant for finance and service charge accountants, facilities managers, in-house legal staff who support leasing teams, and officials in ministries, municipalities, and government property authorities who let state-owned commercial space. Professionals in real estate developers, property management companies, mall operators, sovereign and pension-backed property owners, family real estate offices, and free zone and economic zone authorities across the Gulf and Africa will find the course directly applicable. It is particularly valuable for teams taking over newly completed towers or malls, and for organizations moving from informal landlord practices to a structured leasing and tenant relationship function.

Learning Outcomes

  • By the end of this course, participants will be able to:
  • Develop a leasing strategy that sets clear income, occupancy, and tenant quality objectives for an asset.
  • Plan an office or retail tenant mix that supports footfall, stability, and long-term asset value.
  • Structure heads of terms that balance landlord protection with the commercial needs of the tenant.
  • Compare rent structures and incentives and explain their effect on income and on tenant viability.
  • Apply consistent area measurement and clear cost allocation across the leased portfolio.
  • Coordinate tenant onboarding and fit-out so that handover and opening proceed without avoidable delay.
  • Prepare service charge budgets and statements that tenants can understand and check for themselves.
  • Manage complaints, arrears, and disputes through documented steps and defined escalation routes.
  • Track tenant satisfaction and turn the findings into practical service improvement actions.
  • Build a retention and renewal plan that starts well ahead of lease expiry for priority tenants.
  • Report leasing performance to owners using reliable lease data and agreed performance indicators.
  • Apply clear delegations of authority so that non-standard lease terms are reviewed and approved properly.
